Stefal: unlocking corporate knowledge through Artificial Intelligence

Stefal specialises in electrical wiring and electromechanical assembly, serving a wide range of industries, including professional catering equipment, industrial vehicles, lifting systems, power electronics and automation.
Flexibility and agility are at the heart of the company’s approach, supporting its steady growth in a constantly evolving market.
Digitalisation has led companies to generate an increasing number of documents, applications and workflows. Yet these systems often remain disconnected, requiring significant manual effort to manage information and keep processes running smoothly.
So how can companies reduce this complexity and make better use of the valuable information contained in textual data, which is often handled manually and therefore difficult to integrate into automated processes?
At Stefal, we adopted a pervasive digitalisation approach, extending digital tools across all strategic areas of the business, from back-office functions to operations. Dedicated applications were introduced to structure and centralise information across processes.
The next step was to move from digitalisation to datafication, turning business data into actionable knowledge that can be used to improve processes. Artificial Intelligence was then introduced to extract even greater value from the company’s existing information assets.
With Hyperdoc, an application designed to unlock value from unstructured documents, we strengthened the integration and collaboration between Stefal’s management systems and the processes they support.
The solution uses a pre-configured technology layer equipped with extraction engines – in this case, linguistic engines – and is closely integrated with QualiWare, the main application used to orchestrate processes.
QualiWare supports the entire quality management journey, helping companies improve and automate information flows in line with their business processes.
Together, the two technologies create a highly effective integrated solution.
Within QualiWare, Hyperdoc provides users with an intuitive interface that can respond quickly to search queries, classifyexisting documents by category or content, and extract information relevant to specific processes. This includescertifications, procedures, instructions, plans and records.
As a result, the technologies implemented at Stefal can read and interpret documents, while also recognising the specific meaning of terms, concepts and terminology within their context.
The experience also highlighted several factors that are essential when adopting a structured approach to AI. These include strong commitment from top management, the ability to develop initiatives at scale and maximise their benefits, and a top-down approach to identifying opportunities where specific assets or tools can deliver the greatest value.
Finally, choosing the right partner is a key part of projects of this kind, helping companies turn technological potential into tangible results – and, in some cases, achieve outcomes that go beyond initial expectations.
